EXTENDED-X Policy

The Extended-X policy was implemented by the Bloomington Faculty Council to ensure students would have the opportunity to explore various educational paths during their first year(s) at IUB.  They believed this exploration to be pivotal to students’ academic development and that such a policy would be one of the things which could facilitate such exploration without imposing undue penalty on students.

The Extended-X policy is sometimes referred to as the “X” policy or the “Grade Replacement” or the “GPA Re-Calculation” policy.  In brief, eligible students can use the Extended-X policy to remove a grade from the calculation of the IU cumulative GPA. Under this policy, the grade is not removed from the IU transcript; instead, an X is placed next to the initial grade on the transcript.

You should read the official Extended-X policy statements provided on the website of the Office of the Registrar.  You should consult with your assigned University Division (or UD-Affiliated) Academic Advisor before enrolling to retake a course and before petitioning to apply the Extended-X policy.

Extended-X Policy Rules: 
You may retake any course in which you earned a grade lower than an “A-” and apply the Extended-X policy to that course.
You may apply the Extended-X policy to no more than three courses, totaling no more than 10 credit hours.
You may apply the Extended-X policy only once to any given course.

Petition to Apply the Extended-X Policy: 
You should go to the UD Records office in Maxwell Hall room 028.  You must be currently enrolled in the course before you can submit a petition to apply the Extended-X Policy to it.
 
Extended-X Petition Deadline
The Extended-X petition must be submitted by the Pass/Fail deadline of the course (according to the Bloomington calendar) during the term in which the course is being retaken.
Note: the Pass/Fail deadline, and therefore the Extended-X petition deadline, is different for first-8-week session, full-term, and second-8-week session classes and is different on many campuses.  Consult the Official IU Calendar to learn the specific Pass/Fail (Extended-X) deadline for the course you are retaking. The best and safest time to submit the petition is right after you enroll in the course.

Post-Deadline Exceptions
Any student who misses the posted deadline is ELIGIBLE to request an exception. 
If you wish to request an exception to the deadline, you must begin by e-mailing the Director of the University Divisionwith the details of your unique circumstances that should warrant an exception to the deadline.
The requests most likely to be approved will:

  • be well-written, well-organized, and free of grammar and spelling errors.
  • include intelligent, reasoned, rational, thoughtful, informed, logical arguments.
  • detail an “extended illness or equivalent distress” that obviously made it impossible to meet the deadline.
  • adhere to the original philosophies and intentions of the implementation of the X Policy.
  • outline truly unique circumstances.
  • exhibit some basic understanding of the seriousness of the error or oversight in missing a published deadline.
  • express an assumption of personal responsibility and an absence of blame placed on others.
  • demonstrate evidence of learning and development.

Extended-X Policy Restrictions: 
The grade may or may not be removed from the calculation of the school or major GPA; some schools do not use the Extended-X policy when calculating the school (internal) GPA. The internal GPA is used to determine such things as admission, graduation, and completion of requirements. See the chart below for details and talk with your assigned University Division (or UD-Affiliated) Academic Advisor if you have any questions.

SCS   WILL recalculate the internal GPA
DENT   IUN and IUSB: WILL recalculate the internal GPA. IUSD (IUPUI): WILL NOT recalculate the internal GPA. IPFW: Contact program.
EDUC   WILL recalculate the internal GPA
HPER   WILL recalculate the internal GPA EXCEPTION: Kinesiology – Sport Marketing and Management: For repeated courses, the highest grade (with or without an X) will be used in the computation of the prerequisite average GPA.
INFO   WILL NOT recalculate the internal GPA
JOUR   WILL NOT recalculate the internal GPA
LSTU   WILL recalculate the internal GPA
MED   WILL NOT recalculate the internal GPA. For admission purposes, the school will allow up to 15 credit hours of retakes of admission prerequisite courses and will recalculate the admission GPA using only the highest grades.
MUS   There is no separate internal GPA.
NURS   There is no separate internal GPA. We allow students to use the EX policy to replace any grade (but encourage them to use it mainly for grades below a C). There is no limit on how many times a student can retake a course to improve their grades (in any cluster) as long as they got a C or above in the first attempt. However, if the student received a grade of C- or below in the first attempt, they can only retake 3 of the required application courses (this applies to Anatomy, Physiology, Microbiology, Finite Math, Eng. Comp, Intro to Psychology, Introduction to Sociology). Only 2 of the repeats can be a C/A/S Cluster course. There is a lot of confusion between “retaking a course to improve the grade” vs. “repeating a course because the first grade was C- or below”.
